• Payment Schedule: Booking form & £250 deposit by 1 February 2012, £450 by 1 October 2012, £450 by 1 February 2013. Final balance due 1 July 2013 will be £170 as ISAC will be subsidising £330 per student.
• Parent’s permission/booking form asking for deposit money

Voyages of Discovery will ask for:

• Passport numbers, date of issue and date of expiry, date of birth
• Medical information that may affect insurance
• Special dietary requirements
• Emergency contact details
• If visiting Greek antiquities sites, you and accompanying adults will need to produce passport photos and a signed form that will give you a pass to enter the sites – this is free.
• A booking form which asks for numbers e.g. how many boys, how many girls, party leaders, attached adults
• How you would like to group your pupils for cabins e.g. 3 x 2 berth rooms for the boys, 6 x 3 berth rooms for the girls (please note: depending on what rooms are available you may not get exactly what you ask for – e.g. you might want the pupils close to the party leaders and in that case you may have to compromise on the numbers in each room.)

In school, you must follow the guidelines of your Off-Site Visits Co-ordinator and School Policy but the following may be of assistance:

• File the Voyages of Discovery and your own risk assessment. A copy may be obtained from Voyages of Discovery.
• Collect parents'/guardians' emergency contact numbers close to the date of the trip and doctors' contact numbers
• Send the parents the emergency contact information given by Voyages of Discovery
• Extra certified photographs of the pupils and copies of the passport should be requested from parents in case a passport is lost.
• Ensure the pupils have valid passports – with six months left from the date of return.
• Ensure the pupils have EHIC cards for medical treatment in Europe.
